We only collect the information genuinely needed to assess your eligibility, prepare your application, and file it with Indonesian immigration. Depending on your visa type, this may include:

  • Identity and passport data — full name, date and place of birth, nationality, gender, passport number, passport issue and expiry dates, and a scan or photo of your passport bio-page.
  • Contact details — email address, phone/WhatsApp number, home-country address, and your address or accommodation in Bali.
  • Application-specific documents — depending on the visa, this can include bank statements or proof of funds, employment or remote-work contracts, sponsor or guarantor details, marriage or birth certificates, health insurance documents, photographs, and academic or professional certificates.
  • Payment information — the records needed to issue invoices and confirm payment of government fees and our service fee. We do not store full card numbers on our systems.
  • Communication records — messages you send us by WhatsApp, email, or our contact forms, kept so we can manage your case accurately.

We do not ask for data we do not need, and we will tell you why a specific document is required for your visa category.


Why We Collect It (Purpose and Legal Basis)

We process your data for clearly defined purposes:

  1. To assess and recommend the correct visa for your nationality, purpose, and intended length of stay.
  2. To prepare and submit your application to the Directorate General of Immigration (Ditjen Imigrasi) through official government portals.
  3. To communicate with you about your case, requirements, timelines, and outcome.
  4. To issue invoices and process payments for government fees and our service fee.
  5. To meet our own legal, accounting, and regulatory obligations as a licensed Indonesian business.

Our legal bases for processing are the performance of our service contract with you, your consent (which you give when you submit documents for an application), and compliance with Indonesian law.


How We Store and Secure Your Data

We apply practical, proportionate safeguards to keep your documents safe:

  • Files are stored on access-controlled systems, available only to the consultants working on your case.
  • We operate on a need-to-know basis — staff see only the cases they handle.
  • Documents are transmitted to immigration only through official government portals such as evisa.imigrasi.go.id and molina.imigrasi.go.id, never through unofficial third-party sites.
  • We ask clients to send documents through reasonable channels and will never request payment via lookalike or unofficial payment pages.

No method of electronic storage or transmission is ever completely secure, but we take reasonable steps to protect your information and to limit access to it.


Who We Share Your Data With

We do not sell your personal data, ever. We share it only where it is necessary to deliver your visa:

  • Indonesian Immigration (Ditjen Imigrasi) — your application data and documents are submitted to the relevant immigration authority through official government portals. This is the core purpose of engaging us.
  • Your sponsor or guarantor, where the visa type legally requires one (for example certain KITAS categories).
  • Payment and banking providers, only to the extent needed to process fees.
  • Professional advisers or authorities, where we are legally required to disclose information.

We do not share your information with marketing companies or unrelated third parties. Because immigration processing happens in Indonesia, your data is handled here under Indonesian law.


How Long We Keep Your Data (Retention)

We keep your data only as long as necessary:

  • Active cases — for the full duration of your application and any related extension or conversion.
  • Completed cases — for a reasonable period afterwards, to support renewals, respond to immigration queries, and meet our legal and accounting obligations.
  • When data is no longer needed for these purposes, we securely delete or anonymise it.

If you would like your data removed sooner, contact us — but note that some records may need to be retained where the law requires it.


Your Rights Over Your Data

You can ask us at any time to:

  • Access the personal data we hold about you.
  • Correct information that is inaccurate or out of date.
  • Delete your data, where we are not legally required to keep it.
  • Withdraw consent for processing (note this may mean we can no longer proceed with your application).
  • Object to or restrict certain processing.

WhatsApp and Messaging Communication

Many clients prefer to reach us on WhatsApp, and we are happy to communicate that way. Please be aware that messages and documents sent via WhatsApp are also handled under WhatsApp’s own privacy terms. We treat anything you send us — including document images — with the same confidentiality as any other channel, and we store them only within our access-controlled systems. If you would prefer to send sensitive documents another way, just ask.
