Is It Safe to Give Your Passport to a Bali Visa Agent?

Yes — with a licensed agent and paperwork. For extensions and KITAS applications, the immigration office itself holds your passport between submission and collection, so handing it to an agent for transport is routine. The rule: release it only against a signed, dated receipt from a registered agency with a physical office, never to a freelancer.

Why Agents Ask for Your Passport at All

Start with a distinction most travellers never hear. For an eVOA or any e-visa, nobody needs your physical passport — the application runs on scans through the official portal. If an “agent” insists on holding your physical passport for an eVOA, that alone is a red flag.

For in-country extensions and KITAS processing, the physical document genuinely enters the system. Since May 2025, every extension involves an in-person biometric appointment and a typical flow of up to three immigration office visits — submission, biometrics, then passport collection once the new stamp or permit is issued (the full sequence is mapped in our Bali visa extension guide). Between those stages, the passport sits with the immigration office — not in the agent’s drawer. The agent’s legitimate role is preparing the file, booking your slots, and physically ferrying documents to and from the counter so you only appear when the law requires you (biometrics) to.

When Handing It Over Is Legitimate — and When It Never Is

SituationWho actually holds your passportLegitimate?

KITAS / long-stay permit filingImmigration office during processing; agent in transit, with receiptYes, standard practice

The pattern is simple: legitimate holding is short, purposeful, documented, and ends at an immigration counter. Illegitimate holding is open-ended and ends wherever the agent’s cash flow does.

The Paper Trail a Licensed Agent Gives You

Before your passport leaves your hand, a professional agency provides, unprompted:

  • A signed, dated receipt showing your passport number, the purpose (e.g. “VOA extension filing”), the expected return date, and the name of the staff member taking custody.
  • A service agreement naming the agency, its registration, and the exact service — with the fee split into government fee and service fee.
  • A live contact channel — one named consultant on WhatsApp, not a rotating anonymous number — who confirms each stage: submitted, biometrics booked, ready for collection.
  • Copies for you of everything filed under your name, so you always know exactly which visa class and which portal your passport is attached to.

At Bali Visa Trusted this is standard workflow, not a favour: registered with Ditjen Imigrasi, ten years in operation, 8,400+ clients, and an office at Jl. Sunset Road No. 88, Kuta where you hand the passport to a named person across a desk — not to a courier on a scooter outside a café.

Pro tip: photograph the receipt and the ID of the person taking your passport, then email both to yourself immediately. You now have a timestamped chain of custody that survives a lost phone — and honest agents will happily pose for it.

Red Flags: Take Your Passport Back Now

  • No receipt offered, or a scribble without passport number and date.
  • No physical office — meetings only in cafés, cars, or “at your villa”.
  • “We can do your biometrics for you.” Impossible since May 2025. Anyone claiming otherwise is either lying or doing something you do not want your passport near.
  • Passport retained as payment leverage, or a demand for surprise “release fees”.
  • Cash only, no contract, no registration number you can verify.
  • Prices dramatically below everyone else — the classic bait we documented in our guide to Bali visa scams.

One red flag is a conversation; two is a decision. Our checklist for finding a trustworthy visa agent walks through the verification steps in order.

What Officials Advise

Indonesian immigration’s consistent public guidance is to use official channels — applications belong on imigrasi.go.id and its portals, and travellers remain responsible for their own documents at all times. Practical corollaries: never surrender your passport to unlicensed brokers, never let anyone file under a visa class you do not understand, and if a passport is lost or withheld, report it to the police and your embassy immediately. A withheld passport is not a billing dispute; it is a police matter.

Your embassy’s advice will say the same thing in different words: the passport is a government document, you are its custodian, and any handover should be brief, documented, and reversible.

If an agent ever refuses to return your passport, do not negotiate by paying more. Send a written demand on WhatsApp so a timestamped record exists, then report the matter to the local police, notify your embassy or consulate, and inform the immigration office handling your file. Retaining a foreigner’s passport as leverage is not a commercial dispute — treat it, and report it, as the offence it is.

How a Scan-First Agency Handles It

The cleanest test of an agent is how little they want your passport. Bali Visa Trusted works scan-first: everything that can be filed digitally is filed digitally, and the physical passport moves only when an immigration counter requires it — with a receipt going in and a confirmation message coming out. For an eVOA, for example, the entire USD 79 done-for-you service runs on scans; your passport never leaves your possession. You attend biometrics in person because the law says so; we make sure that is the only queue you ever stand in.

That workflow, including custody timelines per visa type, is documented in our visa agent FAQ, and every service that involves passport handling is listed with its process on the visa services page — with costs published upfront on the USD pricing page, so the quote and the custody terms arrive together, in writing.
